Grant file/folder access

Why would you use it?

Thanks to this feature, as an admin, you can share content owned by someone else using Domain Wide Delegation to impersonate the file owner.

It ensures that even if the original owner is unavailable – be it due to absence, turnover, or other reasons – access to critical files is not hindered, maintaining uninterrupted business operations.

It's also useful when moving folders to a Shared Drive. If the user in charge of the move only has read access to some of the files in that folder, it prevents him from moving those files.

Grant access to a single file / folder

As a Folgo admin, open Folgo on Google Drive. The icon can be found on the right side. Then click on  "Admin Tasks" at the bottom of Folgo's interface.

You will see the Admin Tasks menu. Click on "Grant File or Folder Access".

From the menu, you will be able to manually enter:

  • The ID or URL of the file or folder you would like to share
  • The email address of the current owner of this content
  • The email address of the person or Google Group who should gain access to that content. By default your own email address is populated in this field, to let you get quick access to any Google Drive resource on your domain.

Simply click on the "Share" button and Folgo will take care of the rest.

You will get a confirmation directly inside the Folgo interface once the appropriate permission has been granted to the intended user or group.

Grant access to files and folders from different owners

Open Folgo from Google Sheets. Then click on  "Admin Tasks" at the bottom of Folgo's interface.

You will see the Admin Tasks menu. Click on "Grant File or Folder Access".

Once you clicked the button, it will automatically include three columns in your spreadsheet:

  1. A column containing the ID or URL of each file and folder to be shared
  2. A column specifying the email address of the current content owner
  3. A column indicating the email address of the individual or Google Group requiring access to the content.

For your information, Folgo automatically matches each required field with the corresponding column in your spreadsheet. Review the selected columns to make sure the file IDs, owner email addresses, and recipients are correctly identified.

Fill each column with the required data. You can add as many rows as needed, as Folgo can process file access grants in bulk.

Once your data is added, refresh the Folgo interface. The page should update and display a blue button labeled “Share X items.” Click it to start granting access. Folgo will then process the action for you.

Once it is complete, you’ll receive a confirmation email.
