Grant File or Folder Access
Why would you use it?
Thanks to this feature, as an admin, you can share content owned by someone else using Domain Wide Delegation to impersonate the file owner.
It ensures that even if the original owner is unavailable – be it due to absence, turnover, or other reasons – access to critical files is not hindered, maintaining uninterrupted business operations.
It's also useful when moving folders to a Shared Drive. If the user in charge of the move only has read access to some of the files in that folder, it prevents him from moving those files.
Grant access to a single file / folder
As a Folgo admin, click on the "Admin Tasks" button in Folgo home page in Google Drive.
Then click on the menu "Grant File or Folder Access"
From the menu, you will be able to enter:
- The ID or URL of the file or folder you would like to share
- The email address of the current owner of this content
- The email address of the person or Google Group who should gain access to that content. By default your own email address is populated in this field, to let you get quick access to any Google Drive resource on your domain.
Simply click on the Share button and Folgo will take care of the rest. You will get a confirmation directly inside the Folgo interface once the appropriate permission has been granted to the intended user or group.
Grant access to a list of files and folders (belonging to different owners)
In order to effectively manage the sharing of files and folders, it is required to include three columns in your spreadsheet:
- A column containing the ID or URL of each file and folder to be shared
- A column specifying the email address of the current content owner
- A column indicating the email address of the individual or Google Group requiring access to the content.
It is not mandatory to limit the spreadsheet to these columns, nor is there a specific requirement regarding their sequence or header names. You will have the ability to clearly designate the appropriate columns within Folgo.
As a Folgo admin, click on the "Admin Tasks" button in Folgo home page in Google Sheets.
Then click on the menu "Grant File or Folder Access"
Use the 3 dropdown menus to select the 3 columns containing the files ids, owner email and recipients.
Click on the Share button and Folgo will take care of the rest.
You will get a confirmation by email that your action has been processed.
