Domain audits: How to Audit Multiple Accounts with Folgo?

Why would you use it?

This feature allows you, as a Google Workspace administrator, to audit Google Drive content created and shared by several domain users. You can select any Google Group in your domain, including a group containing all users within the organization, and ask Folgo to audit all those accounts.

Depending on what you are interested in finding, you can either monitor the storage used by each user, scan content they created and shared publicly, or scan their entire account and list all files and how each file is shared.

How to use it?

As a Folgo admin, click on the "Admin Tasks" button in Folgo home page in Google Drive.

Then click on the menu "Audit content & access".


In the audit menu, select 'Multiple Google Accounts' in the 'Corpus' selection field and enter the email address of a Google Group on your domain. Folgo will perform the audit on all members of that group, including people in nested groups. Using a group containing all members of the domain is also supported.

Four different audit scopes are available:

  • "Everything" to list every file and folder created by each user
  • "Shared items" to skip files created but not shared with anyone
  • "Shared publicly" to specifically list files and folders available publicly (either via search or to anyone with the link)
  • "Only storage info" to simply monitor the storage used by each group member in Google Drive, Gmail, and Photos

You can also request to retrieve all permissions linked to each file created by each user.

Please note: The types of audits influence the speed of processing. The more files there are, the longer it will take to process them. We advise you to use the type of audit that suits you best.

Listing permissions attached to each file will take a long time, especially on accounts with many shared files.

Folgo will create a spreadsheet report that aggregates and summarizes all the information. You will also find a detailed report for each account, allowing you to delve deeper into each audited account independently.
