Revoke unwanted and outdated accesses in Google Drive

After running a permissions audit and generating a detailed spreadsheet report, Folgo allows you to take action directly from that report. You can quickly revoke or reassign user access in bulk across entire folder structures, including subfolders, Shared Drives, or even a full Google Workspace account.

1. Inspect your folder

To initiate the process, start by generating an Audit Spreadsheet. This sheet will serve as your control center for revoking permissions.

Do not forget to check the "List file permissions" option.

2. Check your permissions

From your audit report, open the "Permission Recap" sheet. There, you'll find a comprehensive overview of who currently has access to some files in the entire folder architecture, Shared Drive or Google account you ran the audit on. From here, open the Folgo add-on again.

3. Select the users and remove / update the permissions

  1. In Folgo, look for a button labeled "secure folder" and click on it. Checkboxes will be inserted in the first collumn of your sheet.
  2. Check those boxes for users from whom you want to remove or update permissions.
  3. Once you have selected all the users, select the action you wish to perform in the "Action to perform on permission" dropdown:
    1. "Remove permissions" will completely revoke the accesses selected from every files in every folder and subfolders that were audited.
    2. "Set to Editor" will set them as editor.
    3. "Set to Commenter" will set them as commenter.
    4. "Set to Viewer" will set them as viewer.

That’s it! Your permissions have been successfully updated across the selected scope.

The purpose of the “Remove permissions” feature is to help organizations maintain control over their Google Drive environment at scale. By enabling bulk permission removal and modification, it reduces the risk of unauthorized access, limits data exposure, and supports compliance and governance policies.

Ultimately, this feature plays a key role in data loss prevention, ensuring that sensitive information remains accessible only to the right people, at the right time, and with the right level of access.
