Audit permissions propagation

Introducing a seamless solution for tracking permission changes! Our latest update offers an effortless way to stay informed about any modifications in permissions. With just a few clicks, you can conveniently view permissions by selecting the corresponding line in your inspection sheet.

0. Inspect your folder

To initiate the process, start by creating an inspection sheet. This sheet will serve as your control center to audit permissions. For detailed instructions on how to inspect a folder, click here. Do not forget to check the "List file permissions".

1. Check your permissions

Get started with tracking permissions by accessing the inspection sheet of your preference. Once opened, head over to the "Listing Detail" tab. Here, you'll discover a comprehensive list of files and folders included in your inspection. Look for the column labeled "Permission changes from parent" (column P) to identify any modifications. This column will serve as our reference point to unveil what exactly has changed. 

2. Select the file/folder

  1. Access Folgo by locating it in the right sidebar, just like you would open it in Drive.
  2. Look for a button labeled "Audit permission propagation" and click on it.
  3. Choose a cell that indicates a recent event or change.
  4. After selecting the desired cell, click on the refresh button, and you will instantly see the details of what has been modified.

Note :

You'll encounter four distinct types of "Permission changes from parent" in Folgo:

  • "NO_CHANGE": This indicates that neither the file nor the folder has experienced any modifications and continues to inherit permissions from its parent.
  • "HAS_INCREASED_PERMISSIONS": This signifies that the file or folder now possesses additional permissions compared to its parent.
  • "HAS_REDUCED_PERMISSIONS": Here, the file or folder has fewer permissions than its parent.
  • "HAS_DIFFERENT_PERMISSIONS": This category suggests that the file or folder has both reduced and increased permissions, resulting in a mix of different access levels.

3. See every changement

To track every permission change made to your document, follow these steps:

  • Locate the "LIST ALL PERMISSION CHANGES" button at the bottom of your document. Clicking on this button will open a new tab within your Google Sheets titled "Permission Propagation."
  • In the "Permission Propagation" tab, you will find a comprehensive record of all the changes made to your file's permissions.
  • To narrow down the changes for a specific person or specific folders, utilize the filter tool provided by Google Sheets. This tool allows you to selectively view and analyze permission changes based on your desired criteria.

By following these steps, you can easily monitor and review all permission changes made to your document, ensuring better control and understanding of access modifications.
