Move to Shared Drive from a Spreadsheet

As an administrator, you can easily move files, folders or account to a Shared Drive directly from a spreadsheet. This approach allows you to efficiently organize and relocate content in bulk, saving time and effort compared to moving them manually one by one.

Use Case

Moving files to a Shared Drive from a spreadsheet helps administrators manage file and team organization on a large scale, particularly when dealing with multiple ones that need to be shifted to specific Shared Drives.

Prerequisites

Before you begin, ensure you have the following:


Steps to Move Files to Shared Drive from a Spreadsheet

1. Open Folgo

  • Access Folgo in Google Sheets. On the right side, click on Admin Tasks and then click on the "Move to Shared Drive" feature to get started.

  1. Prepare the Spreadsheet

Move a Folder:

The spreadsheet should include the following columns:

  • Folder ID: Enter the ID or the URL of the folder you want to move.
  • Current Folder Owner's Email: Enter the user email address of the current owner of the folder.
  • Shared Drive Id: Enter ID of the Shared Drive where you want to move the folder.

Move an Account:

The spreadsheet should include the following columns:

  • Folder Owner Email: Enter the user email address of the account you want to move
  • Shared Drive Id: Enter ID of the Shared Drive where you want to move the account.

Optional: If you want to move a folder or an account to a new Shared Drive : You can create it directly on the spreadsheet. All you need to do is fill its name and enter the mail of those who will have access to it. Make sure the select the right columns.

  1. Initiate the Move

Before proceeding, make sure all columns are correctly filled:

Once everything looks good, click on the “Move X Folders” or "Move X Accounts" button at the bottom. Folgo will initiate the process of moving the selected folders/accounts to the Shared Drive.

Once confirmed, Folgo will initiate the move.
