Move to Shared Drive : overview of the available options with Folgo

Folgo offers flexible options for moving folders from My Drive to a Shared Drive, tailored to both end users and administrators. This guide outlines the available methods, so you can choose the one that best fits your use case.

As an End User

When an end user initiates a folder move:

  1. Folder Listing:

    The user running the move lists all files and subfolders in a spreadsheet.

  2. Subfolders Copy:

    All subfolders are recreated in the target Shared Drive with the same structure by the folder owner.

    File Transfer:

    Folgo attempts to move each file:

    • If the user running the move is allowed to move the file, the file is moved directly.
    • If the user running the move is not allowed to move the file, you can choose to request the move from the actual file owner. The file owner must authorize the move, and the transfer is done with their account. Alternatively, you can also select to copy the files, or create a shortcut.

This method ensures that ownership and permissions are respected, but may require cooperation from other file owners.

As an Admin

Folgo provides three advanced options for admins to streamline folder moves:

Move to Shared Drive as an Admin

You provide the folder ID and the folder owner's email

What happens:

  • Folgo impersonates the folder owner and starts a move job as if they were an end user.
  • The process mirrors the end user flow (see above) : If files can’t be moved by the folder owner, the actual file owners are contacted to authorize the move. Alternatively, you can also select to copy the files, or create a shortcut.

Move using impersonation

You provide the folder ID and the folder owner's email

What happens:

  • The folder owner automatically grants the admin Editor access to the folder.
  • The admin’s account:
    • Lists all the files and subfolders.
    • Recreates the subfolders in the Shared Drive.
    • Attempts to move the files.
    • If the admin account cannot move a file, it impersonates the actual file owner and moves the file on their behalf. In the Shared Drive folders and files will be respectivelly created and last updated by the admin account by default.
    • If impersonation is not possible (e.g., if the owner is blacklisted or not in the same domain), alternative options will be available, such as creating a copy, a shortcut, or requesting the owner’s permission.

This is the most seamless and powerful option, ideal for large-scale migrations with minimal user involvement. Detailled steps are outlined here.

Bulk moves from a Spreadsheet

You prepare a spreadsheet with a list of folder IDs to move and their corresponding folder owners

What happens:

  • Each folder move is executed as if the folder owner were running it as an end user, so if the folder owner can't move a file, the actual file owner is notified and must manually authorize or perform the move (see end user flow).
