Audit content and access as a Admin

Introduction

Folgo allows administrators to run advanced audits across their Google Drive environment through Audit content & access.

Unlike standard user-level audits, these admin audits let you review content and access across broader scopes such as a Shared Drive, all Shared Drives, one Google account, multiple Google accounts, or even a folder from a user’s perspective.

This article gives an overview of the different admin audit types available in Folgo and explains how to run them. For more specific scenarios, you can then refer to the dedicated articles linked.

Before you start

Before running an admin audit, make sure Admin Tasks are enabled for your domain and that you have the required Folgo admin access.

Step 1: Open Audit content & access

From Google Drive, open Folgo, then go to Admin Tasks and select Audit content & access.

Step 2: Prepare Your Audit

You will be asked to choose a Corpus, which defines the scope of the audit.

Folgo supports the following admin audit scopes:

After choosing the scope, enter the required information.

Then choose the items you want to audit. The available item options change depending on the selected Corpus.

Audit option Description
Everything Audits all content available within the selected scope.
Shared with non-members Audits items shared with users who are not members of the selected Shared Drive or scope.
Summary information Generates a high-level overview instead of a detailed item-by-item audit.
Shared items Audits items that are shared with other users.
Shared publicly Audits items that are accessible through public sharing settings.
Private Audits items that are not shared with anyone else.
Size bigger than Audits items larger than the selected size threshold.
Viewed in the last 12 months Audits items that have been viewed during the past 12 months.
Shared with me items Audits items the selected user can access but does not own.
Only storage info Retrieves storage-related information only,

You can also enable List file permissions to generate additional tabs with detailed access information.

Step 3: Launch the audit

Once the audit scope and options are configured, click Audit.

Folgo will generate a Google Sheet report based on the selected corpus and criteria. The audit may take some time, depending on the size of the corpus.

Click on Refresh to check the progress.

You do not need to keep the browser open while it runs, Folgo will continue processing in the background. You will receive an email notification once the report is ready.

Step 4: Review the audit results

Once the audit is complete, review the generated results to analyze the selected content and access data.

The report gives you structured information about the audited content, including file details, ownership, sharing status, permissions, and other data depending on the options selected.

You can use this report to identify content that may require attention, review access, check ownership, and decide which follow-up actions to perform in Folgo.

Why use admin audits?

Admin audits help you review content and access at a broader level across your Google Drive environment. They are useful for gaining visibility, understanding how content is shared, checking ownership, reviewing permissions, and identifying situations that may require follow-up.

Depending on the audit type, they can help you work across Shared Drives, user accounts, multiple accounts at once, or from a specific user’s perspective. This makes them especially useful for access reviews, security checks, governance, and large-scale content analysis.
